Purpose of the role:              

Acts as a liaison between Managing Partners & teams. Supervises, coordinates and ensures the on time and orderly flow of all tasks from job initiation to its release and billing.

KEY RESPONSIBILITIES

Day to day:

  • Ensuring systems and processes are adhered to
  • Reading briefs to ensure they have correct information and relevant attachments
  • Understanding the requirements of the brief 
  • Ensuring all briefs received prior to noon are being burst prior to noon, briefs received after 16h00 will be burst the following work day
  • All briefs and relevant attachments are attached to job bags and in correct order at all times
  • Effective planning of jobs to meet deadliness – manage daily input and output
  • Prioritising and where necessary re-prioritising work
  • Red flag jobs with all key players when necessary
  • Coordinate and allocate correct resource to jobs within Digital
  • Schedule and lead all internal status meetings
  • Schedule strategy, creative and account management for internal meetings
  • Communicating clearly to obtain the best results –EQ
  • Communicating daily with account leads on progress of jobs and informs Account Services when Client Contact is required to get approvals or gather assets to complete work.
  • Schedule own and manage the resource board and submission of daily scheduler       

Client

  • Work closely with relevant account and creative teams, ensuring effective communication and management of teams’ expectations
  • Work with account teams to understand the clients’ brand and manage projects in a way that will support the delivery of the brand
  • Ensure all members of the team follow the correct procedures/agency processes, and communicate any changes to/breaches of them
  • Actively encourage and facilitate collaboration within the team and other departments within the agency

Leadership

  • Build relationships with and between the team to aid efficient communication and collaboration
  • Develop skills and knowledge within yourself through on the job development, active participation in the agency and department
  • Provide feedback to Creative team regarding improvements that could be made to the department and agency
  • Create clear Joe Grow Goals for yourself and set out to achieve these
  • Actively support and involve team members at the appropriate time to resolve issues,
  • Encourage all members to look for collaborative ways to make Joe Public a great place to work

Minimum Requirements:

  • Qualifications:
  • Minimum years experience:   0 – 1+ years in Digital Traffic
  • The ability to write comprehensive and insightful briefs
  • A sound knowledge of the relevant structures and processes in the agency
  • Excellent computer skills
  • Confident communication skills
