Fabulous opportunity for a mid-weight Marketing Coordinator at a renowned Cape Town-based sports trust. The role will see the successful candidate handling queries, VIP liaison, managing and sourcing suppliers, designs and event-related clothing. You’ll also assist with their website, Facebook and Twitter media updates; manage event Photography and seeding event liaison. The ideal individual for this position has function coordination experience and is keen and able to handle event specific tasks, ad hoc PR projects and general administrative tasks.   • Manage all Marketing related queries
  • Distribute non-Marketing related queries to appropriate departments
  • Assist with the coordination of all VIP guest lists
  • Manage all VIP event PSVPs, queries and follow-ups
  • VIP accreditation and parking
  • Assist with hosting VIPs at the various events
  • Compile VIP information packs
  • Coordinate all deliveries and collections in relation to VIPs
  • Manage the International VIP hospitality requirements
  • Manage all supplier liaisons including bookings
  • Source specific suppliers as needs arise
  • Manage delivery timelines
  • Prepare supplier payment requests
  • Liaise with and brief the Design agency with regards to all annual Design updates required for event specific requirements
  • Ensure all Designs are signed off by the relevant sponsors
  • Liaise with suppliers re event photo overlay designs & all event medal designs
  • Ensure sponsor logos are up to date
  • Coordinate and brief supplier(s) re the production of crew clothing
  • Institute a recon procedure for receiving and distribution of clothing
  • Coordinate the requests and distribution of all crew clothing
  • Coordinate trustees and office staff clothing requirements
  • Feed regular information to the Media office to publish or update
  • Monitor website, Facebook and Twitter on a regular basis to ensure info is up to date
  • Monitor online queries
  • Assist with website searches for incorrect event name and references and/or guerrilla Marketing tactics and illegal sale of entries
  • Manage all photography requests for event images
  • Media/photographer transport coordination
  • Create photo discs for key sponsors
  • Sort and file all event photos post event
  • Liaise with seeding events with regards to Marketing related information (event logos etc.)
  • Coordinate the hosting of seeding event representatives
  • Oversee and manage the set-up of satellite Marketing Office/Media Centre
  • Coordinate the activities of the Marketing/Media runner (e.g. collect results, photocopy/print result copies, locate spokespeople, VIPs, etc.)
  • Assist with administration of complimentary entries
  • Ensure that prize giving is set up and assist with the ceremony
  • Coordinate lucky draws (source prizes and manage the actual draw with the MC)
  • Manage the media bib and accreditation allocation
  • Assist with souvenir sales
  • Assist with Marketing/Media related catering/refreshment needs (media, photographers etc.)
  • Ensure trophies are clean and engraving is up to date
  • Source, coordinate and manage all temporary Marketing staff
  • Assist with sourcing venues
  • Manage liaison with venues
  • Assist with et-up and breakdown at venues
  • Assist with preparing any event communications (agendas, menus etc.)
  • Assist with the planning and execution of ad hoc Public Relations projects
  • Contribute to departmental planning sessions
  • Prepare all departmental payments, budget recons and re-allocations
  • Assist with Marketing related collections and deliveries
  • Consolidate all souvenir items post event and storeroom management
  • Assist with departmental correspondence and diary coordination
  • Assist with proofreading various event materials.

The successful candidate must have/be:

  • National Diploma or Degree in Marketing (3 years)
  • Minimum 6 years’ experience in Marketing/ a major Event environment
  • Strong administrative abilities
